Extended until January 2021: Restrictions on Visitors & other nonmatriculated students in response to COVID-19

Dear Colleagues,

The restrictions communicated on May 31 on new appointments of Visiting Student Researchers, Visiting Postdoctoral Scholars, Visiting Scholars, and other nonmatriculated students, have now been extended at least until January 2021 by the COVID Academic Policy Group, in response to the impact of the COVID-19 pandemic on campus research activities. 
 
As communicated previously, this action is informed by the risks involved in providing formal visiting scholar or visiting researcher affiliations for individuals who are remote – including diminished oversight ability and enforcement of Stanford policies for someone who is not physically here (out of state or out of country), and potential data sharing concerns (e.g., contractual, export control, IT security, and data privacy). In addition, by limiting the arrival of new visitors and other nonmatriculated students on campus during the pandemic, Stanford staff can better serve students matriculated in a Stanford degree program and postdoctoral scholars appointed by the Office of Postdoctoral Affairs.
 
However, because there may be critical needs for some research programs, a request for an exception for high-priority and urgent programmatic needs can be reviewed, approved, and requested by the School Deans. Please contact your School Dean to discuss an exception.
 
Current Appointments: Returning to Research
 
In addition, the change highlighted below for Visitors and other nonmatriculated students who are currently appointed was communicated to department chairs on June 29:
  • Bechtel International Center and Graduate Admissions staff will not be asked to do work for nonmatriculated students for the remainder of spring and summer (through September 1).
  • Nonmatriculated students and other visitors will not be allowed into labs until Stage 3 of return to research. (Exceptions to allow visitors already here earlier access can now be made through your schools usual approval process; priority should be given to students enrolled in Stanford degree programs and postdoc scholars appointed at Stanford.)
  • Requests for extensions of current appointments must be carefully considered in light of the information above about the staged return to research and concern about remote and on-campus visitors.

Finally, we understand the interest in extending the appointment of current visitors whose research and ability to return home may have been disrupted by the pandemic. Please review the policies listed below and carefully note the information required for a request for an extension. Thank you for your patience as extension requests are reviewed.
We appreciate your understanding as we carefully plan for a safe, gradual, and staged return to in-person, on-campus research and scholarship and prioritize the needs of our faculty, postdoctoral scholars, and students enrolled in a Stanford degree program.
